Videoconference Self-Help

These resources provide self-help for officially schedule Videoconference (VC) class sections. Resources for other types of Zoom meetings: Zoom information in Confluence.

Each campus has a team of support technicians to provide technical support for official videoconference sections.

Technical support is available when:

  • The VC section is coded VC or VO and is delivered in an official 82 Videoconference Optimized classroom. 25Live contains information about classrooms on our main campuses. Find VC Classrooms on the Pullman Campus.
  • A Service Level Agreement (SLA) is in place to support department spaces.

Technical support is NOT AVAILABLE to:

  • Department spaces that do no have a SLA in place.
  • General University Classrooms that are not VC Optimized

Each WSU campus has rooms equipped with technology optimized for videoconference courses. We recommend visiting the room you will be teaching in prior to the start of the semester to learn how to operate the controls.

Video conference room technologies include:

  • Videoconference system with Zoom

    • Camera(s). Larger rooms may have multiple cameras.

    • Microphone(s)

    • Speaker system

  • Computer or connections for a personal device

  • Monitors or projectors to display content and connected sites

Additional technology may include:

  • Document camera

  • Touch Panel for classroom controls

We will add a VC Template to your Canvas course space during set-up. The template adds the Zoom module, which you may opt to show or hide to students.

Standard Course Elements

Feel free to customize your course space and the order that you menu items are displayed.

  • Home Page: Customized entry point to the course space. Please customize the home page elements.

    • Home page image: Add an image to help students easily identify the course.

    • Welcome to: Add a course title here.

    • Instructor Introduction: Introduce yourself to humanize the course space.

    • Navigating The Course: Provides students with video resources.

    • Overview: Give students a macro-level idea of what to expect in the course.

    • Student Learning Outcomes (SLOs): Break down the overall goals of the course and give students a glimpse of what they should hope to achieve from the course.

  • Syllabus: Include a copy of your syllabus to the Canvas course space so students at all sites will have access to the content on the first day of class. As of May 2023, the University Syllabus has been added to all Canvas course spaces to include important information about WSU-wide policies and resources.

  • Modules: Share copies of course materials, such as presentations and handouts, to accompany your lectures. We have built out modules for Weeks 1 and 2, which include Lesson pages. Please note that the Week 1 module and corresponding lesson page are published for student view.

    • Lesson 1 – Provides a potential structure where you can include the lesson overview, outcomes, and to-do list.

  • Discussions: Set up discussions that facilitate student engagement across sites. We have included an Ask the Instructor discussion that is published for student view.

    • Ask the Instructor: Allow students to post questions that would be beneficial for the entire class.

Additional Course Elements

These elements are added with the VC template. You may hide them as desired.

  • Course Schedule: Customize and populate the table provided to build out your course schedule. Separating the course schedule from the syllabus allows students to quickly reference when coursework is due.

  • Zoom: Access the join links for the Zoom meeting and review class recordings. Class recordings will be automatically posted.

  • Panopto: Transfer class recordings to Panopto to limit access. In addition, you can use Panopto to record lectures if you are unable to meet with the class through Zoom.

  • Video Conference Information: Find technical support contact information. This content should not be used in non-VC courses.

A VC course section is coded based on the meeting time, location, and instruction mode of the class. When a campus based room is reserved, students must be present in the room. Students should not connect from personal devices unless a Videoconference/Zoom Chair Exception Request has been approved by the department chair or director.

VC Instruction Mode Basics

VC classes are combined sections with both an Originating section and one or more Receiving sections. More information about Combined Sections.

Originating Section

The host section is the Originating section. Ideally, the instructor will be teaching from a VC optimized (82) classroom and students will be present in the room. A exception to EPPM 14 is required if the instructor or students will not be present in the classroom.

  • Videoconference in a VC GUC: Indicates that the instructor is teaching from a VC (82) classroom with students in the room.

  • Videoconference in another space: Indicates that the instructor is teaching from a non-VC classroom with students in the room. Instructor could be in a department room or standard GUC. Support from VC technicians may be unavailable or limited.

Receiving/Destination Sections

The receiving/destination section of a VC course is the site where the students receive instruction.

  • VC Receiving in a VC GUC: Indicates that students are receiving instruction in a VC (82) classroom.

  • Videoconference streaming: Indicates that students are receiving instruction in a non-VC classroom or from a non-classroom environment. Students may be in a department room or on a personal device. Students must be able to interact with the instructor regardless of the location that they are connecting from. Support from VC technicians may be unavailable or limited.

Coding a VC Section in myWSU

Information for department schedulers is found on the Instructions: Instruction Modes page. Talk to your Campus or department scheduler if you have questions about how or why a specific class section is coded a certain way.

Video Conference Class Recordings

Video conference courses are set to automatically record. When video conference courses are recorded, the video, audio, and chat text are recorded in the Zoom cloud. Class recordings can be accessed through the Zoom tool link in your Canvas course menu.

IMPORTANT: Video conference class recordings constitute protected educational records and therefore require student privacy and FERPA compliance.

FERPA Compliance

Please visit Notification of Student Rights Under FERPA for Family Educational Rights and Privacy Act (FERPA) Information.

If a recording includes only the instructor, it is not a student record and FERPA does not limit its use. If the recording includes students (including TAs) asking questions, making presentations, or leading a class , and it is possible to identify the student, then it does constitute protected educational records and requires FERPA compliance.

The following restrictions for recordings that require FERPA compliance.

  • Recordings cannot be downloaded by students.

  • Recordings cannot be shared outside of the originating course.

Retention Policies

Class recordings will remain available through the timeframe indicated in the retention policies below. Throughout this timeframe, students can continue to access class recordings through the Canvas course space.
